1. Introduction

These terms and conditions govern the provision of private tuition services by Penny Lane Tuition, operated by Abigail Neal ("the Tutor", "we", "our", "us") to families and their children ("the Client", "you", "your").

By booking a tuition session, you agree to be bound by these terms and conditions.

2. Services

We provide:

  • One-to-one private tuition for primary school children (Reception to Year 6)
  • Small group tuition sessions (maximum 3 children)
  • Subject areas including Phonics, English, Maths, and SATS preparation
  • Sessions available in-person (Liverpool area) or online via video call

3. Booking & Scheduling

  • Sessions must be booked in advance and are subject to availability
  • Regular weekly sessions will be scheduled at an agreed time
  • Session times may be changed by mutual agreement with reasonable notice
  • We reserve the right to refuse bookings at our discretion

4. Session Fees

  • One-to-One Sessions: £25 per 60-minute session
  • Small Group Sessions: £18 per child per 60-minute session
  • Fees are reviewed annually and may be subject to change with 30 days' notice
  • All prices include preparation, materials, and progress tracking
  • Sibling discounts are available - please contact us for details

5. Payment Terms

  • Invoices are issued monthly at the start of each month for the previous month's sessions
  • Payment is due by the 30th of the month in which the invoice is issued
  • Payment can be made by bank transfer to the account details provided on the invoice
  • Late payments may incur additional charges and may result in suspension of services
  • Please reference the invoice number when making payment

6. Cancellation Policy

Important: Please read carefully

  • More than 24 hours notice: No charge - session can be rescheduled
  • Less than 24 hours notice: Full session fee will be charged
  • No-shows: Full session fee will be charged
  • Cancellations should be communicated via email, text, or phone call
  • We understand emergencies happen and will consider exceptional circumstances

If the Tutor needs to cancel a session, we will provide as much notice as possible and the session will be rescheduled at no additional cost.

7. Illness & Wellbeing

  • Please do not send your child to a session if they are unwell
  • If your child becomes unwell during a session, we will contact you to collect them
  • Sessions cancelled due to illness with less than 24 hours notice will not be charged if a doctor's note can be provided
  • Online sessions are available as an alternative if your child is well enough to learn but cannot attend in person

8. Safeguarding

The safety and welfare of your child is our top priority. We are committed to:

  • Maintaining an Enhanced DBS (Disclosure and Barring Service) check
  • Following safeguarding best practices
  • Reporting any concerns to the appropriate authorities
  • Creating a safe and supportive learning environment

9. Parent/Guardian Responsibilities

  • Ensure your child arrives on time and is collected promptly at the end of the session
  • Provide accurate information about your child's learning needs
  • Inform us of any relevant medical conditions, allergies, or special requirements
  • Support your child's learning between sessions where appropriate
  • Communicate any concerns or changes in circumstances

10. Confidentiality

All information about your child and family is treated as confidential. We will not share information with third parties except where required by law or with your explicit consent. For full details, please see our Privacy Policy.

11. Insurance & Liability

  • We hold appropriate professional liability insurance
  • We are not liable for any loss or damage to personal property during sessions
  • Our liability is limited to the fees paid for the specific session in question

12. Intellectual Property

All teaching materials, resources, and content created by Penny Lane Tuition remain our intellectual property. Materials are provided for personal educational use only and may not be reproduced, distributed, or used commercially without our written permission.

13. Termination

  • Either party may terminate the tuition arrangement with 2 weeks' written notice
  • Any outstanding fees must be paid within 14 days of termination
  • We reserve the right to terminate services immediately in cases of non-payment, inappropriate behaviour, or breach of these terms

14. Changes to Terms

We may update these terms and conditions from time to time. Significant changes will be communicated to existing clients with at least 14 days' notice. Continued use of our services after changes take effect constitutes acceptance of the new terms.

15. Governing Law

These terms and conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes arising shall be subject to the exclusive jurisdiction of the courts of England and Wales.
